What are Variables?

Describes which variables you can use in Studio Ninja as well as where you can use them

If you'd like to make personalized email and contract templates, it's best to use variables. Variables help you pull important information from your client, lead or job so you don't need to put these in manually, saving yourself time and help you avoid mistakes (imagine sending an email addressed to the wrong client!).

You can add a variable in the Subject field or in the email message. The available variables on Studio Ninja are as follows:

Company Information (Available in Subject field and Email message):

%company_name%
%company_phone%
%company_email%

%business_address%

These are variables relating to your company - your company name, phone number, email address, and address.

Payment Information (Only available in Payment Reminders):

%payment_due_date%
%payment_amount%

If you're sending notifications on payment dues and due dates, you can use these variables, but please note that they can't be used as part of a workflow email. Read more about Payment Reminders.

Invoice information (Available in Subject field and Email message):

%job_revenue%

This variable pulls information regarding the invoice amount - this is especially useful for contracts and reminders.

Client Information (Available in Subject field and Email message):

%client_name%
%client_surname%

%client_company%
%client_phone%
%client_email%
%client_address%
%client_notes%

%2nd_client_name%

%2nd_client_surname% ​

Lets you pull primary client and secondary client information to your emails. You can personalise your email, for example:

Will take your client's first name so you don't need to keep typing names manually on your emails, and will also send the date and time of the job.

Job / Lead Information (Available in Subject field and Email message):

$jobName$
%job_date%
%job_time%
%job_location%

%job_notes%

This pulls information regarding the job itself - job dates, deadlines, locations, lead source, job type - especially useful for contracts and reminders.

Appointment/ extra shoot information (Available in Subject field and Email message):

%next_appointment_date%

%next_appointment_time%

%next_extrashoot_date%

%next_extrashoot_time%

Other Variables:

  • %appointment_date%, %appointment_time% - for Appointment Schedules, can only be used under Calendar Settings

  • Invoice, Quote, Questionnaire, Contract variables - can only be linked to emails created on these sections of the job view
